In order to visualize each person’s schedule and to simplify the registration of appointments, we have made it easier to share regularly occurring appointments by allowing them to be registered via an internal chatbot (Metamone: PowerVirtualAgents).

To support foreign employees in correctly understanding information, ChatGPT (API), Teams, and chatbots (Metamone: PowerVirtualAgents) were linked to create an environment that facilitates understanding of Japanese.
Employees used to ask the representative directly for the use of benefits and individual transportation expense applications, but now a workflow has been established that allows applications to be submitted and approved (notifications are sent via email and chat) via a chatbot (Metamone) linked to Teams.
Centralized Information Management
PowerAutoMate、Teams、SharePoint、Planner
Management of prospective clients was consolidated into Microsoft365 Teams.
Prospective clients who are introduced via email are identified by PowerAutoMate, a Teams channel is automatically created, and the company is registered in Plannner to visualize the status of the response.
(This was built based on functional requirements discussed with the representative by an employee who joined the company this year. Some flow modifications were made at a later date.)

Inquiries from the website are automatically listed by PowerAutoMate through a Chat bot (PowerVirtualAgents) and then aggregated in real time from Teams.

For business trip reports, we eliminated the need to create reports in individual files, and instead established a flow in which reports are created from Forms, and supervisors are automatically notified via Teams when a report is made.

We have created an environment that allows remote work on a global basis (centralized management through a VDI environment). The facilities in the room where the servers are installed are not suitable for server operations, so improvements are being considered.
Ongoing correspondence to ensure that information management is compliant with NIST SP800-171.
